Introduction
"Calendar" is a key feature within your "Home" in upgraded Planhat.
Calendar is where you can view your Tasks ("planned activities"), organized in a calendar - as the name suggests!
Effective task management is a vital part of Customer Success, Sales, and indeed pretty much any team within a business. Keeping on top of all the different things you need to do, and completing the right actions at the right time, is vital for you to do your job effectively.
One of the many ways that Planhat helps you manage your busy to-do list is this ready-made Calendar function:
Here you can see your Tasks, from various sources, all in one place
Easily customize the display to suit your preferences
A variety of filter options mean you can easily identify specific Tasks
You can take action directly from Calendar, including acting on multiple Tasks in bulk

π Planhat versions
If you used the older version of Planhat (app.planhat.com), the Calendar in upgraded Planhat (ws.planhat.com) is very similar to the old Actions Module when it comes to Tasks. However, the Notifications that were in the Actions Module are now separated out in upgraded Planhat - positioned directly below Calendar in your Home screen.
Which Tasks can you manage in Calendar?
Calendar is where you can view and interact with Tasks - "Task" being a specific data model in Planhat. "Tasks" always relate to a Company, but this can be either an external Task (where you directly interact with the Company) or an internal Task (such as a Sales Handover with a colleague, about a Company).

If you would like a to-do list of more general tasks unrelated to Companies - e.g. preparing for your yearly appraisal, or booking a dentist appointment - then you can accomplish this with a Document Page.
Calendar brings together all your Company-related Tasks, from any source:
Synced in from a connected Calendar
From a Workflow (a series of automated steps/actions, such as multiple Tasks)
Automations (e.g. when x occurs, create a Task)
Tasks added to Planhat manually
Displaying Tasks in Calendar
There are two viewing modes in Calendar that you can easily swap between via a toggle switch in the top left:
Calendar view
List view
Calendar view
"Calendar view" - our most popular option - displays Tasks as cards in a kanban-style view.
You can "drag and drop" cards (Tasks) between columns (lanes) to change their due date!
The columns (lanes) can be your choice of:
Workday
Day (including weekends)
Week
Month
You can easily edit what the columns (lanes) correspond to via the ellipsis button in the top-right corner:
Here you can also edit how you would like to sort the Tasks by within those columns (lanes):
Time
Company
Workflow
Conversation Type
Status
Via the ellipsis button and then clicking "Show" (with an eye symbol), you can also choose whether to add ...
columns (lanes) for overdue Tasks,
and/or Tasks due "someday" (i.e. without a specific due date):

"Compact mode" is a useful option if you have a large number of Tasks and would like to fit more cards onto the screen:
List view
"List view" is the alternative display of Tasks, arranged - as the name indicates - in a list!

This is simple display, and doesn't have options to customize the display like you saw in calendar view.
Filtering your Tasks in Calendar
Regardless of whether you are using calendar view or list view, there are various ways you can filter the Tasks in Calendar:
"Find in view..." (search)
Quick filters
"Global Filters" built for the Task model
Custom filters
"Find in view..."
You can use the "Find in view..." box to quickly search for - filter by - text in the view.
For example, this could be a specific Company, so you can quickly and easily see all the Tasks related to them:
Or, you could filter by Tasks with "Product" in their name:
... you get the idea!
Quick filters
Next, we have "out of the box" filters, which show at the top of Calendar.
These include the properties/fields most relevant to Tasks:
Task Owner (where you can filter on a User or a Team)
Task Status
Whether the Task is part of a Workflow
Whether the Task has been shared in a Portal

In the example below, Calendar has been filtered to show Tasks that are blocked and are from a Workflow. You can see the applied filters in orange.

"Global Filters" for Tasks
Under "+ Add filter", which you'll see to the right of the built-in filters, is "Global filters".
Here you can select Global Filters created on the Task model.
Custom filters
You can also use the "+ Add filter" button to build additional / more complex filters, if what you'd like to do is not covered by one of the quick filters.
The process is:
Click "+ Add filter"
Select a property (field) to filter on (e.g. "Urgent?")
Choose an appropriate operator (e.g. "Equal to")
Select appropriate value(s) (e.g. "true")
For example:
π Tip
If you would like to use a Global Filter built on the Company model (e.g. "Enterprise Companies") or filter by Company Owner (as opposed to Task Owner), a suitable alternative to Calendar is a Data Table of Tasks, which could be either a Data Table Page or a Data Table Widget.
The example below shows a Data Table Widget in a Dashboard in Explore Mode. You can see the quick filters for Company Global Filter and Company Owner in the top left.

Actions in Calendar
Actions on Task cards
You can carry out some actions directly via the Task cards.
For example, you can click on the Status ("To do" in the example below) to open up the Status/Outcomes options and select another.
You can also click on the Workflow if applicable ("Churn Prevention" in the screenshot above) to open it, or click on the Company name ("Clearbit" in the example above) to jump to its Company Profile.
Viewing further details
You can click on any card (Task) to open it up on the right-hand side to see its full details and interact with it.

The Task window shown in the top right above is actually a Preview.
You can configure fields shown in these Previews within the "Profile" tab within the "Data" Global Tool for admins. Ensure you have the Task model selected on the left-hand side.

Bulk actions
Planhat helps you save time by acting on multiple Tasks at the same time, to remove repetitive manual work.
In the top right of Calendar, you'll see a button for "Bulk select":
Once you click this, you'll see a checkbox appear for each Task. Select your choice of Tasks, and then you'll see options at the bottom to apply:
Complete Task
Ignore
Export to Excel
Set due date
Clear repeat
Assign to a User

You can click "Bulk select" again to come out of this mode (remove the checkboxes).
