Introduction
"Email Manager" is a key feature within your "Home" in upgraded Planhat.

Email is one of the main ways you will be speaking with your customers and prospects. In Planhat, customer/prospect emails can be sent manually (with or without an Email Template) or automatically (via a Workflow). Planhat includes a number of tools to help you manage your emails.
Email Manager consists of four parts:
"Outgoing - need actions" - review sent emails that have encountered an issue or need approval
"Outgoing - scheduled" - view emails that are scheduled to sent
"Unassigned" - manage emails where it's not clear which Company they should be linked to
"Drafts" - work on your draft emails
The drafts shown are personal to you, whereas the other three tabs show emails from across your Planhat tenant (i.e. from/to your colleagues as well).
Whichever tab you are in, you can click on an email in the list to open up its details on the right-hand side of the screen.

π Tip
Another important part of upgraded Planhat (ws.planhat.com) for customer correspondence is Inbox Pages, which you can create and customize to show any selection of Conversations. A couple of key differences between Email Manager and Inbox Pages are:
Inbox Pages are - as the name indicates - focused on incoming messages, whereas Email Manager is mainly focused on outgoing messages
Inbox Pages can display any type of "logged activities", such as tickets, or QBRs, whereas Email Manager is specifically for emails

If you used the previous version of Planhat (app.planhat.com), you will be familiar with elements of Email Manager from the Conversations Module.
Navigating to Email Manager
You'll always find Email Manager under "Home".
It's not one of the features pinned by default, so you will most likely find it under "... More".
If you use Email Manager frequently and would like to pin it here (instead of accessing it under "... More"), you will need to unpin one of the other features first, as you can have a maximum of 3 items pinned here. Simply click on the pin symbols to unpin/pin your choice of features.
If you navigate away from this in Planhat, and "... More" or "Email Manager" is no longer visible, simply click the Home symbol in the top left of your tenant to get back to it.
Outgoing - need action
The emails in this tab are of two main categories:
Blocked by error
Awaiting approval
You can easily filter the emails by one category or the other, as shown in the screenshot below.

You can mouse over "Blocked by error" to see the specific error message, so you can address the issue.
As well as the type of email (action required), you can easily filter by Company or by Sender (you or your colleagues). You can also use "Find in view..." to search for a specific email or set of emails.
If you mouse over the email symbol for an email within the checkbox column, you will see a checkbox that you can select. You can select multiple emails here and then apply a bulk action as appropriate:
"Approve to send" (appropriate for emails waiting for approval)
"Remove"
Outgoing - scheduled
Here you can view all emails that are scheduled to send from your Planhat tenant. These are typically emails that are part of a Sequence Workflow, where a series of emails are sent automatically in response to specific data changes in Planhat.
The main types of emails in this tab are as follows, which you can easily apply a filter for:
Scheduled to send
Queued to deliver

You can also use the built-in filters for Company and Sender, and/or search via "Find in view..." as you saw for "Outgoing - need action".
If you mouse over the email symbol for an email within the checkbox column, you will see a checkbox that you can select. You can select multiple emails here and then apply a bulk action as appropriate:
"Pause send-out"
"Remove"
Unassigned
In Planhat, emails (as with other Conversations) are linked to one Company. While most of the time, it's easy for Planhat to identify which Company to associate the email with (because you are emailing one or more End Users at one Company), sometimes it's less obvious (e.g. if you email an End User that belongs to multiple Companies in Planhat - maybe a parent Company and a child Company within a group structure).
You can influence how emails are assigned to Companies via the "email matching mode" and "primary flag", which you can read about here. (This referenced article was written for the previous Planhat platform (app.planhat.com), so details of locations of features are now out of date, but the principles of the features remain the same in upgraded Planhat (ws.planhat.com). The referenced article will be updated for upgraded Planhat in future.)
There will be some situations where emails cannot be automatically assigned to a Company, and here in Email Manager, you can view and assign them.
To assign a specific email:
Click on the email in the list on the left to show it in the right-hand panel
In the top right of the email, click on the ellipsis symbol
Select "Assign to a Company", and pick your choice of Company
You can also click the "Re-Process" button in the top right (shown in the screenshot above) if you've made changes in Planhat and would like the system to try automatically assigning again.
As with the other tabs in Email Manager, you can use "Find in view..." to search for a specific email or group of emails.
The bulk actions available (via the checkboxes) for the Unassigned tab are "Archive" and "Remove".
Drafts
Unlike the rest of the tabs in Email Manager, in Drafts you don't see emails belonging to your colleagues.
Here you can view, edit and send your email drafts.

You can bring up the "create an email" modal via the keyboard shortcut CTRL + B if you're on Windows, or CMD + B for Apple.
If you have lots of drafts, you can quickly find the relevant one(s) by searching in "Find in view..."
The bulk action in this tab is "Remove" - useful if you want to delete multiple old drafts at once.
