Summary
Previews and Full-Page Profiles, together referred to as Profiles, are ways of displaying data about one record at a time (e.g. a specific Company, such as Ford)
This is a fantastic way to compile all the key data in one place, so you can get a good overview and can take effective action
You can easily configure different Templates (layouts) to automatically apply in different circumstances (e.g. based on a Company property, or on a characteristic of the Planhat User viewing the Preview/Profile)
This means you always see the most important data - no more and no less
Who is this article for?
This article is particularly relevant to Planhat builders/admins who configure their tenant for their team (e.g. CS Ops), and will be creating Custom Templates
It's also useful for all Planhat Users in general, to get an overview of Previews and Full-Page Profiles

Introduction
Planhat is your "central source of truth" for all your customer data - and customer data is, of course, central to acquiring, retaining and growing your customers. In Planhat, there are many ways to visualize your data, and then take data-driven action.
While in many circumstances, you'll want to view data from multiple Companies, or End Users, or Licenses etc. at the same time (e.g. in a table or a chart), sometimes you want to zoom into one single Company, or End User, or License etc. You can view that single record as a Preview (which is a concise version of a Profile) or a Full-Page Profile (a full-screen display that's available for certain data models).
You can think of a Profile/Preview as a 360-degree view of a Company, or other data model as appropriate. Here you'll see all sorts of types of data compiled in one place for that record.
What's more, you can customize Previews and Full-Page Profiles to suit your organization, displaying your choice of data in your choice of layout. You can even design multiple custom layouts, with criteria to automatically apply the appropriate layout (Template) depending on properties of the record (e.g. if it's for the Company model, you may choose to have different layouts depending on Phase or Tier/Segment) or the viewer (e.g. which Team the Planhat User is part of).
π Definitions and Planhat versions
In the earlier version of Planhat (app.planhat.com), Previews didn't exist, and you just had Profiles (full-page, for limited models).
In upgraded Planhat (ws.planhat.com), which this article is for:
Previews have been introduced for all models
Profiles have been renamed Full-Page Profiles
The word "Profile" now incorporates Previews as well as Full-Page Profiles
You may still hear "Profile" used to refer to specifically Full-Page Profiles.
What are Previews and Full-Page Profiles?
| Preview | Full-Page Profile |
Definition | Concise display of a record (e.g. a Company) | Expanded full-page display of a record (e.g. a Company) |
Available for which data models? | All models* | Company, End User and User** |
Particularly useful for | Jumping between different records | Focusing on one specific record |
*"All models" does not include Automations or Metrics.
**Custom Full-Page Profile Templates (layouts) are currently available for the Company model specifically. Custom Preview Templates (layouts) are available for all models.
Previews and Full-Page Profiles are displays of individual records in Planhat - e.g. they could show one Company at a time (e.g. Microsoft), one End User at a time (e.g. Taylor Swift), or one Opportunity at a time (to sell X to customer Y). They show the relevant associated data - e.g. for a Company, it could display key fields, usage data, associated End Users, and so on. All Planhat Users will view Previews and Full-Page Profiles.
If you're an admin/builder in your Planhat tenant (e.g. CS Ops), you can easily create your own tailored Templates (layouts) to automatically display particular data in particular circumstances - e.g. you could have a specific Preview and Full-Page Profile for Companies that have churned.
Here is an example of a Preview:

As you can see, Previews display in a modal over the top of what you are looking at in Planhat. It's not grayed out or locked in the background, which means you can continue to click - this makes Previews great for jumping between different records (e.g. different Companies).
Here is an example of a Full-Page Profile:

Full-Page Profiles show a larger amount of data in the bigger screen. You'll mainly see these Profiles for the Company model (and that's where you can create custom layouts as Templates), although there are also similar Profiles for End Users (people who are your customers) and Users (people who use Planhat - yourself and your colleagues).
Use cases for Custom Previews and Full-Page Profiles
If you're a Planhat admin/builder, you can configure multiple Templates (layouts) for each data model. You may think of these as "model variants". Both the Preview and the Full-Page Profile may be customized (depending on the model).
This is personalization is super powerful, as you can ensure that the most relevant data - no more, and no less - is displayed each time. For example:
What's relevant for a churned Company (customer) is different from a current Company (customer)
What's important for an Enterprise Company may differ to a SMB Company
What a CSM needs to see is different than what a CEO needs to see
... and so on - and you can easily customize Planhat for all these scenarios, and more.
To be more specific, some example use cases are:
With Companies in the Onboarding Phase, you want to include Custom Profile Pages for Sales Handover and Onboarding Review. You create a Custom Profile Template including these Pages, and with a condition to automatically apply to Companies when Phase is equal to Onboarding
You use the Opportunity model in Planhat for your sales pipeline - expansions, upgrades and selling new products. In your organization, these sales Opportunities particularly apply to Companies in your Success Phase, when Companies are fully onboarded and are not a Churn Risk. You create a Custom Profile Template for the Success Phase, where the (standard) Opportunity tab is shown prominently on the Profile Template as one of the main tabs
For your Enterprise Companies specifically, you carry out an in-depth Account Review. You create a Custom Profile Page for this, and set it as part of a Custom Profile Template, which is automatically applied to Companies where Tier (a custom field) is equal to Enterprise
Thinking about criteria for Users rather than Companies, you create a Custom Profile Template just for your Sales team, so rather than seeing everything about the customer, they only see information that helps them drive expansion
In our series of articles on this topic, you'll learn all about how to configure this type of thing.
How to configure Custom Previews and Full-Page Profiles
As a Planhat admin/builder, you can configure Custom Previews/Profiles in the "Data" Global Tool, in the "Profile" tab for each model.
Click the image to view it enlarged
Each "Profile" listed here consists of all or some of the following components, which you will see when you click on a Profile to edit it, or click "+ New Profile".
Criteria
You'll see this when creating or editing Custom Profiles; it's not applicable to the Default Profile for each model
The "Criteria" tab is where you set conditions defining when it is applied, based on properties of that model (e.g. for the Company model, it could be Phase = Onboarding), or properties of the Planhat User viewing it (e.g. Role = Sales)

Field Groups
Here you define which fields on that model you would like to show in the Preview and the Full-Page Profile if applicable
You also define groups (categories) to organize your chosen fields - so, for example, for the Company model, you could have a "People" group including fields for the relevant Owner (CSM), Technical Account Manager, Account Executive and Onboarding Manager; and a "Subscription" group with details such as ARR and Renewal Date
You can define and combine multiple rules here if you wish
