Introduction
Planhat can be highly personalized, making it suit both your organization as a whole and each individual Planhat User. Planhat is very powerful, with lots of features and all your data in one place, but with personalization this can be cut down so it's not overwhelming - each Planhat User sees just what they need to see, without their screen being cluttered with anything unnecessary. This enables each person to be more efficient, gaining quick yet deep understanding of their customers/prospects, and taking data-driven action.
There's a range of customization approaches you can take in Planhat:
"Top down" - customization set up by your admins
Content pinned/recommended via Home Templates (previously called User Personas)
Verified content organized in Libraries
"Bottom up" - personalization implemented by/for individual Planhat Users
You can create your own private content (Sections and Pages)
You can also make some decisions about which recommended Sections/Pages to include in your Home
An intermediate level - e.g. great for team managers, but can be accessible to all
Create and share content with your colleagues - give access to content
You can share / give access to Pages, Sections or Libraries
You can give access in a "bulk" way (e.g. to all Users in your Planhat tenant), or in a granular way (down to individual Users)
You can make people Viewers (read access) or Editors (write access)
Promote content to other Planhat Users
In this article, we'll focus on the text in bold above: giving access to content (i.e. sharing content). We cover promoting content in a separate article here.
Being able to share customized content means that you and your colleagues can make use of existing designs and insights, rather than everyone needing to "reinvent the wheel" and create their own content. In addition, it's possible to take existing content created by a teammate, and create your own modified version, just for you.
Note also that access permissioning is a way for you to keep control over your tenant, so people can't "mess up" content by accidentally making changes that affect colleagues within the tenant.

Giving access to content - summary
As the Owner (or an Editor) of content (a Page/Section/Library) in Planhat, you can share it with other Planhat Users in your tenant.
You can:
Apply access permissions to all Planhat Users in your tenant, to groups of Planhat Users, or to individual Planhat Users
Make people either Viewers (read access) or Editors (write access). You can set some people to be Viewers and other to be Editors of the same piece of content
Set these permissions when you first create content, or give/change access later on
Here are a couple of typical examples:
π Tip
When people have access to content (Pages, Sections and Libraries), they will be able to see them within Content Explorer. If you give Page access to a named person, they will also receive an email notification about this.
π Important to note
Viewers do not have the ability to share - only Owners/Editors can do this.
As a Viewer of a Page, you can edit it just for you, but those changes won't affect anyone else's version of that Page.
Pages
Creating Pages
When you first create a Page in a Section, you set the initial bulk access permissions. There are three options:
"Restricted" - private, just for you
"Members of this Section" - access permissions are inherited from the Section the Page is in. Users will have Viewer or Editor permissions, like they have for the Section
"All in [your Planhat tenant name]" - here you can quickly give access to all the Planhat Users in your tenant. You can choose between giving everyone Viewer or Editor access
Note that you can always give additional access later on, via sharing, which we'll discuss next in this article. For example, while you're still designing a Page, you might keep the Page as private for you, and then once it's finished, you could then give access to the appropriate teammates.
Sharing Pages
Once you've created a Page, you can change its access level via the "Share" button in the top right. Clicking on "Share", you'll see a modal like this:
Here you can:
See who currently has access
Give access to your choice of named Planhat Users and/or Teams (granular control)
You select from Viewer or Editor access
You can give different access levels to different Users/Teams
You can change the access levels (including removing access) later on
In "General access", you can control bulk access permissions - like you saw above when new Pages, you can choose from:
"All in [your Planhat tenant name]" - give access to everyone (as either Viewer or Editor)
"Members of this Section" - this can be used to give people access based on the Section the Page is in (although if the Page is used in multiple Sections, this option is not applicable - it will be grayed out)
"Restricted" - only the Owner (creator) of the Page, and any named Users/Teams given access (as discussed above), can access this Page
You can also "Copy link" if you would like a URL to share the Page that way, or "Share via Email"
You can learn about setting up automatic regular emails to share Pages here. This is a great way of sharing the content of Pages outside of Planhat, e.g. sending financial data to your board members
π Important to note: Giving a colleague a link/URL does not in itself give them permission to view/edit the Page
Sections
π Tip
Sharing Sections is an alternative to pinning/recommending Sections via Home Templates (formerly called User Personas). Remember, you can share Sections with specific Teams.
Creating Sections
When you create a new Section, you can set the "General access", but also - unlike when creating Pages - you can share to named Users/Teams right away.
"Share Section with" - like you saw when sharing Pages:
Here you can set granular access control
Select specific Teams or named Planhat Users
Choose whether these people should be "Viewers" (read access) or "Editors" (write access)
Permissions you give here add on top of what you set in "General access"
Once you have selected the User(s)/Team(s) and chosen the access level, click on the orange "Invite" button to invite them
"General access" - like you saw when sharing Pages:
Bulk apply permissions to everyone (all Planhat Users in your tenant)
If this is set to "Restricted", it'll be private - just for you - unless you have named Users/Teams in "Shared Section with", in which case it's only accessible to those people with the access you have defined
The alternative here is "All in [your Planhat tenant name]". If you select this, again you can choose between whether you want to make everyone "Viewers" (read access) or "Editors" (write access)
The difference compared to Pages is that there is no "Members of this Section" option as it's not applicable/relevant - because you are defining the Section access here!
π Tip
When you go to create a Section and are given the choice of "Private Section" or "Public Section", this just determines what "General access" is initially set to: either "Restricted" or "All in [tenant name] - Viewer". This access level can be changed afterwards, either when you're originally designing the Section, or even afterwards, as we describe in the next part of this article.
Editing Section access
You can go back and edit the access levels (share the content) later on. Like with Pages, you could create a Section that's private ("Restricted", with no extra permissions given) initially, while you are designing/creating your Section. Then, once it's finished, you can share it with your teammates.
Simply click the ellipsis symbol next to the Section name in Home, and select "Edit Section".
This will open up a modal where you can view and change the access levels. Like you saw above when creating the Section in the first place, you can set "General access" for bulk permissions, and "Share Section with" for more granular control.
Libraries
While general Planhat Users will be creating and sharing Pages and Sections, if you're a Planhat admin/builder, you'll also be creating and sharing Libraries, via the "Libraries" Global Tool for admins. Once you're ready for your colleagues to use your Library, you'll want to give the relevant people access.
Creating Libraries
Just like you've seen for Pages and Sections, you can give access in two alternative ways:
Bulk access: under "General access", you can select "All in [your Planhat tenant name]", and then choose your access level from the dropdown menu (typically you'll want Viewer access for Libraries)
Have "General access" set to "Restricted", and then share with individual Users/Teams, with your choice of access level
Whether a User has Viewer access via the bulk "General access" or because they are a named User, they will then see the Library within the "Libraries" part of their Content Explorer, like in the example screenshot below.

Editing Library access
Like you saw with Pages and Sections, you can change who has access to a Library later on, which is perfect if you initially want it private while you're working on it, and then share it with your colleagues when it's ready.
A practical example
Here we'll go through an example scenario in further detail.
Let's say I create a Company Data Table Page. I choose which columns I want (see here for more on column preferences), and then click the "Data Table with orange dot" icon in the top right, and then the save button, to save the default columns for this Page.
I now invite my colleague to the Page. I give them "Viewer" access.
My colleague receives an email saying they have been given access to the Page. They can click on the "View Page" link in the email to jump there.
π Important to note
You will only receive a notification email like this when a Page is shared directly with you - not when a Page is set to be available to everyone in your tenant, and not when a Section or Library is shared with you.
Also, in the recipient's Content Explorer, this Page has now appeared in the "Shared with me" part, shown in the screenshot below.

Either way, my colleague can view the Page, and if they want to, add it to their Home (in a suitable Section).
They can then make changes to the Page if they like - e.g. remove columns that they don't think are necessary - but the important point to note is that these changes only apply to themselves, because they are only a Viewer of my Page.

Even though my colleague has this Page in their own Section and they have edited the data display for themselves, they are still only a Viewer of the Page. As a Viewer, as well as not being able to edit it in a way that affects others, they also cannot share the Page, either individually or part of a Section.
In the screenshot below, the Planhat User only has Viewer access. When they click "Share", they can see what access level they have, and who's the Page Owner, but the box to invite additional people (ringed in green below) is grayed/blocked out.
If they share the Section where they've positioned the Page (for the new recipient to access via Content Explorer - remember they would not receive an email about this), access to this Page would not be included - they would simply see the message "You don't have access to this Page - request access". Only the Owner, or an Editor, of the original Page would be able to give access to (share) the Page.
