Profiles visualize all the important data for a record; you can customize the layout via Profile Templates

Introduction

While in Data Explorer and Data Table Pages etc. you may be looking at data related to multiple records at once, Profiles are what you view to take a deeper look at one specific record (e.g. a specific Company, End User, Deal, Workflow etc.) at a time. With Profiles, various types/sources of data on a record are compiled in one place - e.g. Signals, Pages, Conversation data, and so on.

Profile layouts can be customized - you (as a Planhat admin) can create multiple Profile Templates for each model, and set different criteria so the relevant Template is automatically applied. This is a fantastic way that you can personalize which data is displayed, to suit either:

  • the record (e.g. for the Company model, this could be based on the Tier, Phase or Status etc. of the Company being viewed),

  • and/or the viewer (e.g. Senior Leadership may want to see different data than CSMs, who want to see different data than Salespeople, who need a different view compared to the Professional Services team, etc.)

📌 Planhat versions

You may already be familiar with Profiles from the pre-OS version of Planhat. One major difference when it comes to Profiles in Planhat OS is that there are no longer separate concepts of Full-Page Profiles (more detailed Profiles) v. Previews (more condensed Profiles) - now there is only one single type of Profile.


What are Profiles?

A Profile is a display of data about a specific record - e.g. the Company "Apple", the End User "Katie Jones", or the Deal "Additional Seats for Allianz", and so on. The Profile can show a wide range of data about that record (e.g. field data, Pages, Signals and more), all compiled in one place, giving you a 360-degree view of that record.

Profiles in Planhat OS have:

  • One single column. The whole Profile reads top to bottom in a single column, so you do not have to hunt across panels for what you need

  • A "Related Data" expandable/collapsible list, not a long row of tabs. Instead of one tab for every related data model, the Profile has a single "Related Data" area. It lists all the related data models, and you can click on a model to see the associated records

  • Quick links to your Pages. A "Featured Pages" widget puts the Pages you use most one click away

  • Signals in context. A "Signals" widget shows the record's Signals on the Profile, so you can quickly understand context and act on it

The following is an example of what a Profile can look like in Planhat OS. This is a Profile for the Company "Intercom". You can see what each of the bullet pointed features described above look like in practice.

📌 Definitions

  • "Models" (also called "data models") are how CRM data is organized in Planhat. You may sometimes come across them referred to as "objects". Examples of Planhat models are Company (representing organizations that are your customers or prospects), End User (for people who work at those Companies) and User (the model for users of Planhat - you and your colleagues)

  • "Records" are the individual pieces of data within those models - so examples of Company records could be "Dell" or "Gong", and examples of End User records could be "Hannah Brown" or "James Saddington".


Customizing Profiles

To get you started quickly, each data model comes with a pre-build Default Profile Template. You can customize this (e.g. add or remove fields), but the full flexibility comes in creating custom Profile Templates, which you can tailor specifically for particular scenarios, to ensure the most relevant data (no more and no less).

For example, you could make a Profile Template specifically for Companies who are prospects, and another that applies when Companies are paying customers - and the correct Profile Template will be automatically applied, based on conditions you define. You can make various Profile Templates like this for each model, and you can even design Profile Templates for different viewers (Planhat Users) - e.g. the PSA team v. the Sales team v. the Senior Management team, and so on.
