Introduction

Profiles display data about one record at a time (e.g. a specific Company, such as Apple). Profiles compile all the key information about that record in one place.

You can design custom Profile Templates (layouts) for each data model, to automatically apply in different circumstances (based on properties of the record being viewed, or on characteristics of the Planhat User viewing the Profile). This means you always see the most important data - no more and no less.

Frequently asked questions (FAQs)

  • Q: Where do I need to go to edit a Profile Template?

    • A: To view the full list of Profile Templates, go to the "Data model" Tool, select your chosen data model, and scroll down to "Profiles". Alternatively, when you're looking at a Profile (record), click on the ellipsis (3 dots) in the top-right corner, and select "Edit Profile Template"

  • Q: Why is a record opening in the "wrong" Profile Template?

    • A: A record shows as the first enabled Profile Template it matches, counting from the top of the list of Profile Templates for that model. Check that the Profile Template you want to be applied is enabled, review the criteria (conditions/rules) to ensure they match the record, and look at the Template order. A Profile Template higher in the list may be "catching" the record first, if the criteria are also met for that other Template - reorder them if so

  • Q: How do I make one Profile Template "win" over another?

    • A: Drag it higher in the Profile Template list. When a record matches more than one Template, the topmost match is the one that's applied

  • Q: Can I delete/move the Default Profile for a model?

    • A: No. The Default Profile Template is the catch-all that every record falls back to (i.e. it's the layout applied if no custom Profile Templates are matched), so it cannot be deleted, renamed, given criteria (match conditions/rules), or moved up from the bottom of the list

  • Q: How many Featured Pages can a Profile have?

    • A: If you include the "Featured Pages" Profile widget/section in a Profile Template, you can choose up to 5 Pages

  • Q: I've set up Field Groups, but I can't see fields in the Profiles using this Template - why is this?

  • Q: I'm customizing a Profile Template but I can't see the Criteria tab to set up match conditions (rules) - why is this?

    • A: This indicates you're modifying the Default Profile Template. As this is the "backup" Profile Template for records that don't match any other Profile Templates, you can't set criteria for the Default Profile

  • Q: Can I set multiple criteria (match conditions / match rules) on a Profile Template? If so, do they work as "AND" or "OR"?

    • A: If you set up multiple rules of the same type, e.g. two rules applied to User or two rules applied to the record's properties, then these are applied on an "OR" basis, i.e. only one of these conditions need to be met in order for the Profile to be able to be applied. However, if you set rules that are different types, e.g. one rule applied to User and one rule applied to the Profile's model, then these are applied on an "ALL" basis, i.e. you'd need to match conditions on both the User and the model for the Profile to be applied

  • Q: What happened to Previews? Can I configure a Full-Page Profile and a separate Preview layout?

    • A: In Planhat OS, there are no longer separate concepts of Previews and Full-Page Profiles - now there are only Profiles

  • Q: Do I need to include all fields in Profile Templates to be able to view/access them in Profiles?

    • A: You should include fields in featured Field Groups if you want them to be always visible in the Profile, but all other fields can still be viewed if you click "More" in the Profile

  • Q: What's the difference between standard and featured Field Groups?

    • A: Featured Field Groups are always visible on the Profile, whereas standard Field Groups are visible if you click "More" - but they are still grouped together and shown above general fields not in any Field Group

  • Q: Why can't I move a standard (non-featured) Field Group above a featured one?

    • A: Featured Field Groups display the fields you have selected as the most important, and are always at the top
