How to Send Emails From Planhat

Learn how to send single or bulk emails to a specific audience via Planhat

Sending one-off emails from Planhat is simple, and the benefit is that you'll have access to all your customer contacts, data, and email templates.

There are three ways you can send a one-off email:

  1. Simply press Ctrl+B or Cmd+B from anywhere in the app to bring up the email editor.

  2. Navigate to a specific End User (End User Profile) or a bulk set of End Users (e.g. via Data Explorer) and send an email.

  3. In an Inbox Page, you can click on the "New" button (with paper plane icon) at the top.

All of these options will take you to the email editor (shown below). Let's walk through the email editor, and then how to quickly email a group of End Users (option 2 above).

1. How to write an email

The email editor packs a lot of functionality, so let's explain the most important pieces and then you can explore more on your own. For example, check out the email engagement tracking here.

  1. Define sender: in Planhat you can choose who this email should go out from. It can either be from yourself (or another specific user who has enabled public account usage), or dynamically from the account owner to whoever is the recipient (again, assuming the relevant user has enabled their sync and allows for this), or using our Email Automation Provider functionality (although this is really only relevant for high-volume campaigns and send-outs).

  2. Multiple recipients: if you're sending to multiple recipients (i.e. multiple email addresses in the "To" field), then you can either choose to send this as 1 email with multiple recipients, or as multiple individual emails, one per each email address. If set to "Yes", 1 email will go out, if "No", multiple emails.

  3. To/Recipients: freely search for end-users you want to send to in your customer database (or see the section below on how to use filters to quickly identify a group).

  4. Email templates, merge tags, and other features: at the bottom, you find some of the other power tools, like email templates, merge tags (allowing you to insert a variable from your data platform, like "Hi [[FNAME]], we're excited to work with you and [[COMPANY]]" which will then be populated with the right data for each recipient. This is useful when bulk sending in multiple individual emails.


2. How to send an email to a bulk set of recipients using data tables and filters

Sending bulk emails to a specific audience from Planhat is quick and simple! Please follow the steps below:

  1. Go to the Data Explorer and ensure the End User model is selected (pictured below), or go to a suitable Page such as a Data Table built on the End User model. Apply a filter as desired, to help you identify specific End Users

  2. Use the checkboxes to select the End Users that you would like to email

  3. Click "Send Email" in the box that appears at the bottom (pictured below)

  4. The email editor form will then open with the selected End Users listed as recipients

Examples of filters:

  • All my Decision-makers with Product X in US West, since we just had an outage and I want to notify them

  • All the Disengaged Admins, because I want to invite them to a personal meeting to try to re-engage them

  • All the End Users in my portfolio with the role of Product Manager, because we just launched a new offering for them and I want to share an update
