Learn how Module permissions can affect access in upgraded Planhat

Summary

  • "Workflow permissions - Modules" are a set of permissions within Roles. Roles are how you (as a Planhat admin) can apply different access levels to groups of Users within your Planhat tenant

  • Modules were part of the main structure of original Planhat (app.planhat.com), but these corresponding permissions do have some effects in upgraded Planhat (ws.planhat.com)

  • We suggest that you leave these permissions enabled for all Roles in upgraded Planhat, and then use data model permissions and workflow feature permissions to restrict access

Introduction

"Workflow permissions" are a set of permissions within Roles. Roles are how you can bulk-apply permissions to groups of Users (i.e. you and your colleagues), typically corresponding to job role.

Within the "workflow permissions" tab of Roles, the bottom part is "feature permissions", which we cover in a separate article here. This article will focus specifically on the "Module" section at the top of the tab.

"Modules" were a key part of how the original Planhat platform (app.planhat.com) was structured. They were listed down the black bar on the left-hand side.

Upgraded Planhat (ws.planhat.com) is structured differently, and no longer has these Modules. However, Module permissions do still have some effects in upgraded Planhat; we describe the impact of each of these permissions below.

Customer Actions

In upgraded Planhat, if you disable this permission, it hides the "Calendar" Home feature, although it does not hide the "Notifications" Home feature.

Customer Data

In upgraded Planhat, if you disable this permission, it hides the "Data Explorer" Home feature. It does not hide the "Data" Global Tool for admins, and you can still view/edit in Pages such as Data Tables.

Customer Intelligence

At the time of writing, disabling this does not affect upgraded Planhat.

Customer Conversations

In upgraded Planhat, if you disable this, it hides the "Email Manager" Home feature. It doesn't prevent you from seeing/creating/updating Inbox Pages, however.

Customer Playbooks

"Playbooks" is an old term for the "Workflows" feature (which should be distinguished from the "workflow permissions" tab of Roles, which is unrelated).

In upgraded Planhat, disabling this permission hides the "Workflows" Global Tool for admins, which is where you would configure Workflow Templates. It does not prevent you from viewing and interacting with Workflows in Pages, the Data Explorer, or Profiles.

Customer Surveys

This permission corresponds to the NPS Module in original Planhat; and in upgraded Planhat, if disabled, it hides the "NPS" Global Tool for admins (currently under construction).

Revenue

At the time of writing, disabling this does not affect upgraded Planhat.

Developer

At the time of writing, disabling this does not affect upgraded Planhat.


Recommendations

Although upgraded Planhat (ws.planhat.com) does not have Modules in the same way as original Planhat (app.planhat.com) did, we recommend that you keep the Module permissions enabled for every Role in upgraded Planhat (potentially with the exception of the Survey/NPS Module permission). This is because features such as Calendar and Data Explorer are important functionality that all Planhat Users could benefit from access to, so we don't recommend you disable them via Module workflow permissions. You'll also want to leave on the Module permissions if you still have some Users using the original Planhat platform and therefore need to access the Modules.

Remember, there are data model permissions and workflow feature permissions that you can use if you would like to restrict access to some parts of Planhat. For example, there are sets of data model permissions for Workflows and Workflow Templates. The "Admin Access" workflow feature permission can be used to enable/disable access to the "Data" Global Tool. The "View Unassigned Folder" workflow feature permission can be used to hide the Unassigned tab from the Email Manager. And so on - you get the idea!
