Our customer platform is where you will be managing your customer's lifecycle activities, revenue and growth going forward. This article will help you get started with some simple steps to ensure you are set up for success from the get-go.
Look for the π symbol to get fully set up.
1. Connect your Email and Calendar
Sync your e-mail and calendar for easier workflow management, activity records, task creation and better transparency.
π Important to note: Planhat will only sync emails and calendar events with customers, so do not worry about your personal correspondence showing up. We can also remove specific domains from the sync for further privacy if needed, just let us know!

βοΈ Contacts will be created automatically when you are contacted by someone new with a known email domain
βοΈ Planhat does not intend to replace your email provider but will make your life easier by allowing you to apply email templates or create the exact email contact list you need
π Sync your e-mail or calendar with Planhat:
Go to your profile page by clicking on your name in the top-right corner of Planhat and then selecting "Profile"
Click on the "Email" or "Calendar" tab in your top bar
Click the buttons to enable the "Email sync" and "Calendar sync" respectively
Select all email folders relevant to your customers and click "Update Sync Settings" (make sure to have "Inbox" and "Sent" folders selected at a minimum). Note that the first sync can take over 10 minutes
Choose your calendar and click "Save"
π£ Pro tip: If you would like to sync certain Planhat tasks back to your Google calendar you can do so by following the guidelines here.

π Create your own email templates
Often times we send the same email over and over again. Now that you have your email synced in Planhat, you can also save your email templates for a more efficient workflow.
When you open the email creator you can access those previously created templates by clicking on the template icon on the bottom menu. The same menu will allow you to save your current email as a template as well.
In upgraded Planhat (ws.planhat.com), you configure email templates in the "Settings" Global Tool. To learn more about creating email templates, check out this support article.

2. Set up your Notifications and see your To-do list
Proactively engaging with your customers is key to CS. Planhat should help you easily prioritize actions with your customers. This means being notified of any changes as well as seeing your Tasks in one easy view.
In upgraded Planhat (ws.planhat.com), there are separate Home features for:
Calendar - view and update your Company-related Tasks, such as meetings
Notifications - this is one of the ways you can be informed about customer data changes; you can edit your notification preferences here too
π Set up your Notifications
You will quickly develop the habit to check the "Notifications" Home feature regularly, but by default, you will also receive your notifications via email. You can set your notification preferences within your User Profile (example screenshot shown below) in the way that suits you best (email, desktop or slack).

π£ Pro tip: If you are using Slack, setting your notifications to your own private slack channel is easy to do and provides a great experience in just a few steps.
3. Manage your Portfolio
Proactive, churn-busting portfolio work is a breeze inside Planhat and we have several ways to get all the portfolio insights you need.
1. Data Explorer
Data is at the heart of customer management, as well as other business processes. To understand your customers and prospects, and take the most effective action, you need data. After compiling all your data in Planhat, so it's your central source of truth, there are many ways in which you can act in response to data in Planhat, both automatically and manually.
In upgraded Planhat (ws.planhat.com), Data Explorer specifically is designed for you to carry out quick, temporary data analysis with ease. You don't need to be an admin or have a really technical background to ask questions of your data and get answers - you don't need to know code or create formulas. You also don't need to create something permanent within your Planhat tenant (e.g. a Data Table Page or a Dashboard Page, or a Global Filter) when you only want to quickly look up something in your data, helping your tenant stay sleek and uncluttered.

2. Bubble Chart
In upgraded Planhat (ws.planhat.com), "Bubble Chart" is a type of chart widget that you can use in Dashboard and Presentation Pages. Here's a typical example:

In Bubble Charts, you can control the axis to visualize different scenarios and find those customers that need your attention.

For example, you can look at customers set against the renewal timeline and when we last interacted with them. The size of the bubble is defined by the value of the customer, while the colour displays their health.

3. Company Profiles
You can visualize data about one specific Company at a time via its Preview or Full-Page Profile - examples of each shown below.

Company Profiles provide an overview where you can see current, historical and future insights into the customer's recurring revenue, health, usage and all activities and tasks (both planned and completed).
The layouts of both Full-Page Profiles and Previews can be customized, and you can even design multiple different layouts (templates) that are automatically applied under different circumstances.
